About The Role

As a key support to the Director of Sales, you will play a vital role in ensuring their time, focus and priorities are optimised. You will take ownership of a wide range of administrative and organisational responsibilities, ensuring that all support needs are met with accuracy, professionalism and discretion.

In this role, you will proactively manage and streamline executive workloads by reading, researching and coordinating responses to correspondence; drafting high-quality emails and documents; gathering and analysing information; and initiating communications on their behalf. You’ll be trusted to use sound judgement when making decisions and to independently manage and resolve issues where appropriate.

Your responsibilities will also include comprehensive diary and inbox management, organising meetings, events and conferences, preparing presentations and conducting background research. You will coordinate travel arrangements and itineraries, ensuring every detail is planned efficiently. Ultimately, your role is to enable the Executives to focus on strategic priorities by ensuring the smooth and effective management of their day-to-day activities.

 

What You’ll Be Doing

  • Provide high-quality administrative support to the Director of Sales, ensuring all day-to-day requirements are met efficiently.
  • Deliver strong organisational support, including coordinating schedules, managing diaries and calendars, and completing word processing and Excel tasks.
  • Demonstrate initiative in the Director of Sales’ absence, ensuring urgent matters are identified and addressed promptly.
  • Manage and submit expenses accurately and on time.
  • Support recruitment activities as required, including participating in interviews and delivering comprehensive induction plans for new team members.
  • Lead and contribute to ad-hoc projects as directed by the Executives.
  • Prepare PowerPoint and other presentation materials for internal and external meetings, including collating input from multiple stakeholders.
  • Manage communications on behalf of the Director of Sales, including maintaining digital diaries, arranging and accepting meetings and calls, and overseeing all meeting commitments.
  • Attend meetings as needed, taking accurate notes, preparing minutes, and ensuring timely follow-up on all actions.
  • Support team meeting logistics, including venue preparation, scheduling, documentation and materials.
  • Arrange catering for leadership meetings and events when required.
  • Coordinate all travel and accommodation arrangements for the Director of Sales.
  • Plan and execute internal sales and customer events and hospitality, including venue booking, catering, budget management, invitations, RSVPs, travel, and itineraries.
  • Respond to routine enquiries and information requests while maintaining strict confidentiality and professionalism at all times.
  • Contribute to wider team activities, projects and ad-hoc responsibilities as needed.
  • Liaise with direct reports, monitor progress on activities assigned by the Executives, and ensure deadlines are met by the wider team.

 

What We’re Looking For

  • Proven experience operating at Personal Assistant level, supporting senior leaders or executives.
  • Advanced proficiency in MS Outlook, Word, Excel and PowerPoint.
  • Strong experience in diary management, schedule coordination and travel planning.
  • Exceptional written communication skills, with high levels of accuracy and attention to detail.
  • Competence in using IT and office equipment, including video recording tools, telephony systems and conference call platforms.
  • Excellent communication skills, with the confidence to engage effectively with internal and external stakeholders, including senior management, Executives, PAs/EAs and customers.
  • A strong commitment to delivering outstanding client service.
  • Ability to work collaboratively and effectively within a team and across the wider organisation.
  • Capability to work independently, using sound judgement and initiative.
  • Confidence in communicating with and presenting to senior management and Executives.
  • Ability to remain calm under pressure, manage competing priorities and meet deadlines.
  • Flexibility and adaptability to manage shifting priorities and a varied workload.
  • Proactive, resourceful mindset with the confidence to take initiative and anticipate needs.
